Health and Safety Protocols

The health and safety of our attendees, staff, exhibitors and the local community is our top priority.  These are the steps we’re taking to ensure your safety at this year’s in-person meeting.

Vaccination and Testing Requirements

 All attendees must be fully vaccinated, prior to April 30th, where fully vaccinated is defined as per the CDC guidelines, and be able to show proof of vaccination.  If not fully vaccinated, attendees must have official documentation of a negative COVID test within 72 hours prior to check-in (home test results will not be accepted).

Due to these additional safety check-in procedures, delays at registration are expected.  Please arrive early, allowing more than enough time to check-in.     

Go first to the Health Check-In and Information Desk, prior to the Registration Desk.  Attendees will not be able to pick up registration materials until they have been screened at the Health Check-In Desk.  For your convenience, the Health Check-In Desk will also be available on Thursday evening, May 12th from 5:00 – 8:00 pm and will open on Friday morning at 8:00 am. 

Please have all required documents ready at check-in.  You will need to provide:

  1. Photo ID (passport or US driver’s license); and
  2. Vaccination card – hard copy, photo copy or digital vaccine card (such as the CLEAR Health Pass app);
    OR official documentation of a negative test result – hard copy or healthcare app (home test results will not be accepted)

Your vaccination card must show that you are completely vaccinated, prior to April 30, 2022 per CDC guidelines.

Providing a Negative Test Result

If providing a negative test result, the test must have been taken within 72 hours of check in, must not be a home test and must be one of the following:

    • Ag (antigen)
    • SARS-CoV-2
  • NOT ACCEPTABLE (antibody or blood tests)
    • Ab
    • IgG
    • IgM

Once checked in at the Health Check-In and Information Desk, you will receive authorization needed to pick up your badge at Registration.

Mask Requirements

Masks are required at all indoor events (except when presenting talks or actively eating or drinking). Please be prepared.  N95 or KN95 masks are recommended.

A limited supply of surgical masks will be available at the VSS registration desk. 

Attendee Responsibilities

Attendees are asked to self-monitor daily for symptoms and not enter shared spaces if they are exhibiting any symptoms or signs of illness.

Onsite Safety and Cleaning

  • The Tradewinds has instituted enhanced cleaning process including the use of Electrostatic Spraying Technology which uses the highest classification of disinfectants and sprays entire areas including guest rooms, meeting space, lobby, fitness centers and dining venues.
  • Hand sanitizer dispensers will also continue to be accessible at key guest entrances and at all meeting and event locations.
  • Staff will sanitize all shared equipment and meeting amenities before and after each use. This includes wiping down podiums, microphones, and PowerPoint clickers between all speakers.
  • Frequent cleaning and disinfecting will be performed on commonly touched surfaces and in high-traffic areas.
  • VSS will make use of outdoor event space where possible
